Client Policies

These Client Policies provide general information about working with Not Me Him Solutions LLC. They do not replace a proposal, Business Associate Agreement, or signed service agreement.

If these policies conflict with a signed agreement, the signed agreement controls.

  1. CONSULTATIONS AND INQUIRIES

Submitting an inquiry or scheduling a consultation does not create a client relationship or guarantee service availability.

Consultations are used to discuss your business needs, determine whether our services are a suitable fit, and identify an appropriate scope of work.

Please provide reasonable notice if you need to reschedule a consultation. Repeated missed consultations may require a new appointment request.

  1. PROPOSALS AND SERVICE AGREEMENTS

Before services begin, the client may be required to:

• Review and accept a proposal
• Sign a service agreement through HoneyBook
• Complete onboarding documents
• Make the required initial payment
• Provide access, authorization, and information necessary for the services
• Sign a Business Associate Agreement when required

Services will not begin until the applicable requirements have been completed.

  1. SCOPE OF SERVICES

Not Me Him Solutions performs only the services identified in the signed agreement.

Requests outside the agreed scope may require:

• A written amendment
• An additional service fee
• A separate project agreement
• A revised completion schedule

Verbal requests do not automatically change the contracted scope.

  1. PAYMENTS

Contracts, invoices, and payments are managed through HoneyBook unless another method is approved in writing.

Clients are responsible for:

• Paying invoices by the stated due date
• Maintaining an accurate payment method when recurring payments are authorized
• Reviewing invoices and promptly reporting questions
• Paying approved fees for additional or out-of-scope work

Late or failed payments may result in delayed, paused, or terminated services as permitted by the signed agreement.

  1. CANCELLATIONS AND REFUNDS

Signing a service agreement reserves business capacity and authorizes Not Me Him Solutions to begin preparation, onboarding, scheduling, or service delivery.

Unless the signed agreement states otherwise or applicable law requires otherwise:

• Setup fees, onboarding fees, retainers, and deposits are nonrefundable.
• Payments for completed work are nonrefundable.
• Payments for work already scheduled, reserved, or begun are nonrefundable.
• A client may not cancel a signed agreement merely to avoid an amount already due.
• Ongoing services must be ended according to the written-notice requirements in the signed agreement.
• Fees and responsibilities that arose before the termination date remain due.

Not Me Him Solutions may terminate or suspend services for nonpayment, material breach, unlawful requests, unsafe conduct, failure to cooperate, or failure to provide required information or access.

Any refund that is approved as an exception must be confirmed in writing.

  1. CLIENT RESPONSIBILITIES

Clients are responsible for providing:

• Complete, accurate, and timely information
• Appropriate system access and authorization
• Current payer, provider, patient, business, and account information
• Prompt responses to questions and document requests
• Written approval when decisions or additional work require authorization
• Lawful instructions and permission to access or process submitted information

Not Me Him Solutions is not responsible for delays, denials, errors, penalties, or missed deadlines caused by inaccurate information, missing documents, unavailable systems, delayed client responses, payer actions, third-party processing, or circumstances outside our reasonable control.

  1. MEDICAL BILLING AND CREDENTIALING

Medical billing and credentialing services are performed using the information and authorization provided by the client.

Not Me Him Solutions does not guarantee:

• Claim payment or reimbursement
• Credentialing, enrollment, or contracting approval
• Approval by a payer, government program, or credentialing organization
• A particular reimbursement amount
• Processing times controlled by third parties

The client remains responsible for the accuracy of clinical documentation, medical necessity determinations, provider qualifications, coding decisions requiring clinical judgment, compliance decisions, and final approval of information submitted on the client’s behalf.

  1. CONFIDENTIALITY AND PROTECTED HEALTH INFORMATION

We treat client information as confidential and use it only as reasonably necessary to provide contracted services, operate our business, and meet legal obligations.

Clients must not send protected health information through the public website form, unsecured text messages, or ordinary email.

Before Not Me Him Solutions accesses protected health information, the parties must establish required agreements and approved communication methods. When applicable, this includes a Business Associate Agreement.

Clients are responsible for ensuring they are authorized to provide all information and system access supplied to Not Me Him Solutions.

  1. COMMUNICATION

Official instructions, approvals, scope changes, cancellation requests, and dispute notices should be submitted in writing through HoneyBook or the designated business email.

Response times and business hours may be stated in the signed agreement or onboarding materials. Messages received outside established business hours will be addressed during the next applicable business period.

Not Me Him Solutions is not an emergency, clinical, crisis-response, or patient-support service.

  1. FILES, RECORDS, AND ACCESS

Clients should maintain their own copies of important business, financial, credentialing, billing, and patient records.

At the conclusion of services, system access should be removed or updated as appropriate. Information will be returned, retained, or destroyed according to the signed agreement, any applicable Business Associate Agreement, operational requirements, and applicable law.

  1. PROFESSIONAL CONDUCT

Clients and representatives are expected to communicate respectfully and provide lawful, accurate instructions.

Not Me Him Solutions may decline or discontinue requests involving:

• Fraudulent or misleading submissions
• Improper billing or credentialing practices
• Unauthorized access or disclosure
• Harassment, threats, or abusive conduct
• Activity that may violate a payer requirement, contract, regulation, or law

  1. CHANGES TO CLIENT POLICIES

These general website policies may be updated periodically. Changes to a client’s signed agreement require the process established in that agreement and are not made solely by updating this webpage.
